In an earlier blog post dated, 16 July 2018, we discussed about inventory issues in rental disputes and how best to protect yourself as an agent, landlord or tenant.
In short, it really boils down to documentation and communication between the agent, landlord and tenant throughout the tenancy.
As we talked to many agents, landlords and tenants, the quality and transparency of the process is largely dependent on the diligence of the agent. However, as agents have lots of viewings, marketing and paperwork to deal with every day, dealing with rental disputes and keeping track of inventory issues can be painful. In many instances, keeping track of the multitude of issues across disparate communication channels via Whatsapp, email, SMSes or phone calls can also prove challenging.
The Rejig team has looked into the rental process in detail and broke it down into its components to understand the pain points at each juncture. After many months of hard work, we are proud to announce that we have created an amazing app for agents, landlords and tenants to use for each tenancy.
This is how it works:
Click on “Sign Up” if you are a first time user.
Key in your full name and mobile number.
Enter the OTP that you have received.
Click on the “+” icon in the top right hand corner to create a new rental transaction. There are 3 tabs to denote rental transactions in different stages of their life cycle. Pending transactions denote rentals which have been created but have not started. Active transactions denote rentals which have started and have not expired. Expired transactions denote rentals which have expired.
You should select your role in the transaction, depending whether you are the agent, landlord or tenant and complete the rental details accordingly.
After the rental details have been completed, click on “Create Rental” which will bring you back to the dashboard. In this example, the tenancy has not started and hence you will be brought to the Onboarding section of the Pending tab. In this case, you can see that the tenant and landlord have not been invited to join the transaction yet. Click on the transaction row to include more details.
You will be brought to this screen with the basic details of the transaction where you will be able to upload any document that relates to the transaction for your own convenience.
To invite a landlord to a transaction, click on the “LANDLORD” tab, key in his name and mobile number and click on “INVITE LANDLORD”. He will receive an SMS to sign up the Rejig web app with the same sign up process as above. After he clicks on the transaction on his dashboard, he should click on the “LANDLORD” tab to complete his details. Follow the same process to invite your tenant.
When you are ready to do the inventory check-in or check-out with the tenant, click on the “INVENTORY” button in the “TRANSACTION” tab.
It will give you a summary of the inventory items in the property based on the layout you indicated at the point of creation. Click on a room to edit the items in each room.
For example, if there is a problem with the tap in Toilet 2. Click on Toilet 2 and you will be brought to this screen.
Add “Tap” if the item was not in the original list of items under Toilet 2 and it will appear at the bottom of the list.
Choose an image and upload it. Indicate the issue with the tap under Remarks and change the condition of the item to “Follow-up”.
The item will be flagged up in the inventory listing and your dashboard so that you can follow up on the item easily. Once you are happy with the inventory listing and the issues flagged, click on “DOWNLOAD DRAFT REPORT”.
A PDF draft report will be generated that can be shared with the tenant and landlord. Once all parties are agreeable, you can click on the “ SIGN INVENTORY REPORT” button.
Indicate your role and sign accordingly on the app.
After at least 2 parties have signed, you will be able to click on the “GENERATE REPORT W/O WITNESS” button.
A final signed PDF report will be generated under the “TRANSACTIONS” tab.
NOTE: Data and documents saved against a particular transaction are only visible to the parties invited to the transaction, including the initial creator of the transaction.
